Job Overview: As a Scanning Digitization Specialist, you will play a key role in transforming physical documents and materials into digital formats. You will be responsible for operating scanning equipment, managing digital files, and ensuring the accuracy and quality of the digitization process. The role requires attention to detail, technical proficiency, and the ability to work with various types of documents.
Responsibilities:
Scanning Operations:
- Operate scanning equipment, including flatbed scanners, document scanners, and other digitization tools.
- Ensure the proper setup and calibration of scanning devices for optimal image quality.
Document Preparation:
- Prepare physical documents for scanning by removing staples, paperclips, and ensuring pages are aligned properly.
- Handle delicate or fragile materials with care to prevent damage during the scanning process.
Quality Control:
- Conduct quality checks on scanned images to ensure clarity, resolution, and accuracy.
- Identify and rectify any issues related to image quality or document integrity.
File Management:
- Organize and manage digital files, ensuring proper naming conventions and folder structures.
- Maintain an organized and efficient system for storing and retrieving digitized documents.
Data Entry:
- Enter relevant metadata and indexing information for digitized documents into databases or content management systems.
- Verify and validate data accuracy to ensure consistency.
Collaboration:
- Coordinate with team members, archivists, or project managers to prioritize and schedule scanning projects.
- Communicate effectively with stakeholders to understand specific requirements for digitization.
Equipment Maintenance:
- Perform routine maintenance on scanning equipment to ensure optimal performance.
- Report any issues or malfunctions and collaborate with the IT or maintenance team for resolution.
Compliance and Security:
- Adhere to privacy and security protocols to ensure the confidentiality of sensitive information.
- Follow industry standards and best practices for digitization and data management.
Requirements:
Education:
- High school diploma or equivalent. Additional certification in document management or digitization is a plus.
Experience:
- Previous experience in document scanning, digitization, or related roles.
- Familiarity with different types of scanning equipment and software.
Technical Skills:
- Proficient in using scanning equipment and document imaging software.
- Basic knowledge of file formats and image compression techniques.
Attention to Detail:
- Strong attention to detail and accuracy in handling documents and data.
Communication:
- Good communication skills, both verbal and written.
Organizational Skills:
